Overview:
This role supports the Chief Litigation Officer (CLO) and the Executive Director, Risk Claims & Insurance, both part of the ministry of Mercy's Legal Department.
This position reports directly to the CLO with a dotted line to the Executive Director, Risk Claims & Insurance.
This role also supports the Risk Claims & Insurance team (RCI) of coworkers who are responsible for managing the Region's potentially compensable events, all professional and general liability claims, and certain litigated matters.
The position is an integral part of the RCI and Legal team, and performs duties and responsibilities in a manner consistent with our mission, values, and Mercy Standards.
Qualifications:
Education:
Associate degree or technical degree/certificate or equivalent work experience.
Experience:
Five years secretarial/administrative support experience.
Other Skills and Knowledge (Skills, Knowledge, Abilities):
Basic knowledge of legal, medical, and technical terminology.
Ability to read and interpret legal documents of varying type and complexity.
Strong written and verbal communication skills.
Ability to work within multiple software systems including databases.
Proficient with Microsoft Office suite, including Excel, Word, and PowerPoint at intermediate level or above.
Well-developed interpersonal, organizational, and critical thinking skills.
Demonstrated ability to work with and preserve sensitive and confidential information in compliance with Mercy policies and procedures and all applicable court rules, policies, and statutes.
Ability to work independently in a self-directed manner.
Ability to work under tight deadlines and high work volume.
Ability to work collaboratively with team members with different backgrounds and perspectives.
Ability to identify with and work within the Mercy organization mission framework.
Preferred:
Education:
Bachelor's degree.
Experience:
Experience in a law office, legal, risk management, or claims operation.
Experience supporting multiple attorneys or leaders.
Certification:
Legal, paralegal, claims and/or insurance certification.
Technology:
Experience with Riskmaster or similar claims system.
Job
Responsibilities:
Serves as point of contact for the CLO, the Executive Director, RCI, and also internal and external ministry level inquiries to RCI and the CLO.
Responds to calls for Legal and RCI by handling or triaging to appropriate resources.
Provides administrative support for both leaders and RCI including but not limited to preparing documents, pleadings and other court filings, correspondence, committee work, reports, notes, guidelines, budgets, and correspondence requiring knowledge of legal and medical terminology.
Receives, sorts and distributes incoming correspondence for both leaders and others in Legal and RCI.
Works as a team member with Legal's administrative support team, providing coverage for others during absences or temporary workload accommodations.
Shares responsibilities for legal and claim databases as they interface with the work of the CLO and RCI team.
Assists to further support other legal duties and activities as needed.
Sets up and maintains files of correspondence, legal and claims database files, department reference materials, and other documents.
Verifies court filings against legal and claim databases to reconcile discrepancies.
Organizes, monitors, and purges paper and electronic department files as required.
Oversees and processes all payments and credits related to claims and litigation.
Ensures reconciliation between financial systems and the legal and claims databases.
Coordinates data for annual claims financial, excess, and other audits.
Facilitates onboarding and assistance to Law students and other interns, temporary coworkers, and new coworkers.
Manages calendars and scheduling for both leaders.
Coordinates activities that include meeting arrangements, conferences, presentation/material preparation, special projects, travel plans and appointments, and mediations and trials.
Submits expense reports and annual continuing education requirements for both leaders.
Prepares and regularly updates trial calendar reconciling changes and differences in all sources of data for litigated claims.
Dockets cases on appropriate calendars and follows up to ensure appearances and/or answers on new cases are timely filed.
Coordinates communication with Mercy's defense counsel on various matters.
Ensures appropriate documentation in legal and claims databases, including adding documents.
Provides database administration functions related to claim and legal databases in coordination with the RCI Sr.
Data Analyst and Legal's database administrator, including data accuracy checks, management of security/access issues, creating and running reports, managing tickets with the vendors, and corrections to inaccurate data.
Assists with communication to Mercy's excess carriers and insurers and related administrative processes, including thorough documentation.
Provides claims histories for credentialing and other purposes.
Researches and prepares Verifications of Coverage for Mercy-covered entities and providers in coordination with Mercy's Credentialing and Data Center.
Participates in or leads RCI or Legal committees or task forces.
Performs other duties as may be assigned by either leaders or others in the Legal Department and Leaders elsewhere in the Ministry.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
